World AI Challenge — Terms of Service

These Supplemental Terms apply to the World AI Challenge in all of its editions and are read together with the General Terms of Service. Where they conflict, these Supplemental Terms control for this Program.

BY REGISTERING FOR THIS PROGRAM, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THIS AGREEMENT, on your own behalf and on behalf of the Participant, together with the General Terms of Service, the Global Code of Conduct & Ethics, and the Privacy Policy. If you do not agree to these terms, do not complete registration. Please read Section 4 (No Refunds), Section 8 (Assignment), and Section 10 (Academic Integrity & AI Use) with particular care.

1. INTRODUCTION & AGREEMENT

1.1. The Parties. These Terms and Conditions ("Agreement") are established by Global Learning LLC, a Delaware limited liability company with its registered office at 16192 Coastal Highway, Lewes, Delaware 19958, United States, doing business as Global Youth Congress ("GYC", "we", "us", "our").

1.2. Scope. This Agreement governs the participation of a student ("Participant") in the World AI Challenge ("Competition" or "Program") in any of its editions, whether delivered online, at a live venue, or in a hybrid format. The terms "you" and "your" refer to the person who completes the registration and accepts this Agreement — the Participant's parent or legal guardian, or, where the Participant is registered as part of a school, team, or group, the registering teacher, advisor, mentor, or institution acting on the family's behalf and with its authority.

1.3. Group and Team Registrations. Where a school, institution, team, group, or authorized reseller registers one or more Participants, that registering party accepts this Agreement on behalf of every Participant it registers and warrants that it holds the authority of each Participant's parent or legal guardian to do so. Every Participant is bound by this Agreement individually, and every term of it — including Section 4 (No Refunds) — applies to each seat registered.

1.4. Documents Forming the Agreement. This Agreement, together with the Global Code of Conduct & Ethics, the Privacy Policy, the official Competition price letter, and the Competition Guidelines and Rules (including the published challenge brief, judging criteria, submission requirements, and permitted-technology rules), forms the entire binding contract between you and GYC. Each is incorporated into this Agreement by reference.

1.5. Acceptance. This Agreement becomes a binding contract at the moment you complete registration and GYC receives payment of the Competition fee. By completing registration you confirm that you have read, understood, and agree to be bound by this Agreement on your own behalf and on behalf of the Participant.

1.6. Live Editions — What This Agreement Does Not Cover. Where an edition of the Competition is held at a live venue, this Agreement covers admission and participation only. Travel, accommodation, and delegation trips are not included and are your sole responsibility. Where you separately purchase a travel program or accommodation package from GYC, that purchase is governed by its own International Academic Programs Terms of Service and is a separate contract; nothing in that contract creates any right of refund or cancellation under this one, and nothing here creates any such right under that one.

2. ELIGIBILITY & REGISTRATION

2.1. Participant Eligibility. The Competition is designed for students between the ages of 12 and 18 at the time of the Competition who are actively enrolled in an accredited secondary education institution in their country of residence. Exceptions are made only at GYC's sole discretion and only under the conditions stated in the Competition Guidelines.

2.2. Real Identity. Registration must be completed using the Participant's true and complete legal name and accurate personal details. Placeholder, dummy, duplicate, or ghost registrations are prohibited. Name changes after registration are permitted only for the correction of a genuine error and are subject to GYC review and written approval. A registration found to be inaccurate or falsified may be cancelled without refund.

2.3. One Account, One Participant. Competition credentials, platform logins, and submission accounts are issued to the named Participant or named team only. They may not be shared, resold, lent, or used by any other person or team. Sharing credentials is a material breach and may result in disqualification and removal without refund.

2.4. Sanctions Compliance. You warrant that the Participant is not located in, and is not a national of, any country subject to sanctions administered by the U.S. Office of Foreign Assets Control (OFAC) such that the delivery of educational services would be prohibited.

2.5. Accurate Information. You are responsible for the accuracy of all information submitted at registration, including the registration email address, which is the address GYC will treat as authoritative for all notices, approvals, credentials, and requests under this Agreement.

2.6. Confirmation. A Participant's place in the Competition is confirmed only when GYC has received both a completed registration and payment in full.

3. FEES & PAYMENT

3.1. Payment in Full. The Competition fee is payable in full at the time of registration. GYC does not offer installment, deferred, or financed payment for Competition registration unless expressly stated in writing in the official price letter for a specific edition.

3.2. Per-Participant Fees. Unless the official price letter expressly states a single team fee, the fee is charged per Participant, and each Participant's seat is a separate registration subject to this Agreement in its own right.

3.3. Currency & Method. All payments are made in U.S. Dollars (USD) via the payment methods GYC provides. You are responsible for any bank charges, card fees, currency conversion costs, or intermediary fees imposed by your payment provider. Where GYC publishes a price in a currency other than USD, conversion is made at the rate applied on the date of invoicing.

3.4. What the Fee Includes. The Competition fee includes only the items expressly listed in the official price letter. Unless that letter states otherwise, the fee covers registration and participation in the Competition, access to the Competition platform and materials, submission and judging of the team's entry, and GYC academic staffing during scheduled Competition activities.

3.5. What the Fee Excludes. The Competition fee does not include, and you are solely responsible for, all costs of: internet access, devices, computers, software, subscriptions, cloud services, AI tools or API credits, hardware or components, prototyping materials, power supply, and connectivity; and, for live editions, travel, local transport, accommodation, meals not expressly listed as included, insurance, and travel documentation.

3.6. Correction of Billing Errors. If you are charged more than once for the same registration, or charged an amount other than the published fee for the registration you actually completed, that is a billing error, not a cancellation, and it is corrected as a billing matter. Notify GYC in writing at billing@theglobalyouthcongress.com within thirty (30) days of the charge and, once verified against our records, GYC will correct the erroneous charge. The correction of a verified billing error is an accounting adjustment; it is not a refund, does not arise under Section 4, and does not affect the operation of Section 4 in any respect.

3.7. Price Changes. GYC may change published fees for future editions at any time. A change in the published fee after you have registered gives no right to any refund, credit, or price adjustment.

4. NO REFUNDS

4.1. THE RULE. ALL COMPETITION FEES ARE NON-REFUNDABLE IN FULL, FROM THE MOMENT OF PAYMENT, FOR ANY REASON. There is no refund period, no grace period, no cooling-off window, and no partial, pro-rated, or proportional refund. This is a material term of this Agreement and forms part of the consideration for the fee at which the Competition is offered to you.

4.2. Why. A Competition place is a finite, allocated resource. On receipt of your registration GYC immediately commits platform and, where applicable, venue capacity, academic and judging staffing, challenge and track allocation, materials, and bracket or cohort composition against that place, and withdraws it from availability to any other student. Those commitments are not recoverable and are not resold. The fee is charged on that basis.

4.3. Circumstances That Do Not Give Rise to a Refund. For the avoidance of any doubt, none of the following — and no circumstance analogous to any of them — entitles you to a refund, a partial refund, a credit, a rollover, a deferral, a fee waiver, or a release from payment. This list is illustrative and not exhaustive:

  • Dissatisfaction with the challenge, track, theme, problem statement, category, bracket, or cohort assigned to the Participant or team, or with its difficulty, subject matter, technical demands, or perceived desirability;
  • Dissatisfaction with the composition of the Participant's team, with teammates assigned or allocated by GYC, or with the conduct, availability, skill level, or contribution of any teammate;
  • The withdrawal, absence, non-participation, or removal of one or more teammates, or the reduction of a team below its intended or minimum size;
  • An assignment that differs from any preference, request, ranking, or expectation expressed by the Participant, the family, the mentor, the teacher, or the school;
  • The Participant's or team's inability, unwillingness, or failure to prepare, build, code, research, or submit;
  • Lack of technical skill, equipment, software, tooling, AI access, or prior experience;
  • Failure to meet a submission deadline, submission in the wrong format, incomplete submission, or submission rejected under the Competition Rules;
  • Failure, interruption, or inadequacy of the Participant's internet connection, device, software, cloud service, third-party AI tool, API access, power supply, or home or school network, or any outage affecting them;
  • Inability to access the platform because of a school, institutional, or governmental firewall, filter, or network restriction;
  • Time-zone difference, session or deadline timing, or inability to participate at the scheduled hours;
  • Illness, injury, medical condition, medical emergency, quarantine, mental-health circumstance, family emergency, bereavement, or any other personal circumstance affecting the Participant or the family;
  • Academic conflicts, examinations, school calendar changes, schedule clashes, or competing commitments or events;
  • Travel disruption, visa denial or delay, passport issues, refusal of entry at a border, or non-compliance with any migratory obligation (live editions);
  • Withdrawal by, or a change of plan at, the Participant's school, institution, team, group, or reseller; or the loss or unavailability of a mentor, teacher, or accompanying adult;
  • A change of mind by the Participant, the parent or guardian, the mentor, the teacher, the school, or the institution;
  • Non-attendance, no-show, late arrival, early departure, elimination at any stage, or participation in only part of the Competition;
  • The Participant's or team's removal, dismissal, suspension, or disqualification for breach of the Global Code of Conduct & Ethics, the Competition Rules, or this Agreement, including for academic dishonesty or prohibited use of AI;
  • Dissatisfaction with results, scoring, rankings, elimination, or the decisions of judges or academic staff;
  • Dissatisfaction with the platform, venue, schedule, format, materials, staff, or other participants or teams;
  • Failure to read, receive, understand, or be aware of this Agreement, the Competition Guidelines and Rules, or any communication or credential sent to the registration email address.

4.4. No Cash Value. No fee paid under this Agreement carries any cash, surrender, or redemption value, and no fee or part of a fee may be converted to cash, credit, merchandise, scholarship, or any other consideration except exactly as provided in Section 6 (Cancellation by GYC) or Section 7 (Transfers).

4.5. The Only Exceptions. The only circumstances in which any sum paid under this Agreement is returned or converted are those expressly set out in Section 3.6 (correction of a verified billing error), Section 6 (cancellation by GYC), and Section 7 (one-time transfer). No other exception exists, and none may be implied.

5. NO WAIVER, NO PRECEDENT, NO AUTHORITY TO VARY

5.1. Discretionary Accommodation. GYC may, in a wholly exceptional case, at its sole and absolute discretion and under no obligation whatsoever, elect to make a goodwill accommodation to a registrant. Any such accommodation:

  • (a) is made as a gesture only, without any admission of obligation, fault, or liability;
  • (b) applies solely to the single registration and single instance for which it is granted;
  • (c) is not a waiver, amendment, or relaxation of any provision of this Agreement;
  • (d) does not create a precedent, custom, practice, course of dealing, or expectation of any kind; and
  • (e) creates no entitlement for any other registrant, for any other Participant or team, for the same registrant on any other occasion, or for any other edition.

5.2. No Course of Dealing. GYC's failure or delay in enforcing any provision of this Agreement, on any occasion or on repeated occasions, is not a waiver of that provision or of any other, and does not limit GYC's right to enforce it fully at any time.

5.3. No Authority to Vary. No employee, contractor, academic staff member, judge, mentor, teacher, school, institution, partner, authorized reseller, agent, or other representative of GYC or of any third party has authority to waive, vary, relax, or contradict any provision of this Agreement, and no statement by any such person — oral, written, or by conduct, before or after registration — modifies it or creates any right against GYC. This Agreement may be varied only by a written instrument signed by an authorized officer of Global Learning LLC, and any such instrument applies only to the specific registration it names.

6. CANCELLATION, CHANGES & POSTPONEMENT BY GYC

6.1. Changes to the Competition. GYC reserves the absolute right to determine and to change the Competition format, structure, schedule, challenge brief, tracks, categories, judging criteria, judging panel, platform, technology provider, venue, and any other component at its discretion, including after registration opens. Such changes do not constitute a failure to deliver the Competition and give rise to no refund, credit, or claim.

6.2. Cancellation by GYC Within Its Control. If GYC cancels an edition of the Competition outright for reasons within its reasonable control, and does not deliver it, you will receive a full refund of all Competition fees you have paid to GYC for that edition. This is your sole and exclusive remedy for such a cancellation, and GYC is not liable for any other cost, loss, or expense you may have incurred, including travel, accommodation, insurance, visa, tooling, or preparation costs.

6.3. Force Majeure. GYC is not liable for any failure or delay in delivering the Competition caused by circumstances beyond its reasonable control, including war or threat of war, civil unrest, terrorism, strike or industrial action, natural disaster, severe weather, epidemic, pandemic, public-health measure, government or regulatory action, border closure, venue loss, internet censorship or restriction, and failure of essential public infrastructure, utilities, telecommunications networks, or third-party platform, hosting, cloud, or AI-service providers ("Force Majeure").

6.4. Remedy in Force Majeure. Where an edition is cancelled, postponed, relocated, or materially curtailed by reason of Force Majeure, GYC will, at its election, do one or more of the following: reschedule it; relocate it; deliver it in an online or hybrid format; or issue you a credit equal to the full value of the fees you paid, applicable to any GYC experience or to the next edition of the Competition that GYC is able to deliver. No cash refund is payable in a Force Majeure event. Where the edition is delivered in a format carrying a lower published fee, GYC will issue the difference as additional credit on the same terms. Credit issued under this Section is valid for twelve (12) months from issue, is non-transferable except under Section 7, and carries no cash value.

6.5. Technical Interruption. A temporary interruption, delay, or degradation of a session, platform, or submission window caused by platform, network, or third-party technology failure is not a cancellation of the Competition. GYC will use reasonable efforts to restore the service, extend an affected deadline, or otherwise make good the affected activity, and doing so discharges GYC's obligation in full. No refund or credit arises from a technical interruption.

6.6. Minimum Numbers. GYC may cancel, merge, or restructure a track, category, bracket, or cohort that does not reach viable numbers. Such a change is not a cancellation of the Competition and gives rise to no refund or credit.

7. TRANSFERS

7.1. One Transfer Only. A registration may be transferred once, and once only. You may elect either to transfer the registration to a different eligible student (Section 7.3), or to transfer it to a future edition of the Competition (Section 7.4). You may not do both, and no registration may be transferred a second time by anyone.

7.2. How to Request a Transfer. A transfer request must be made by email to waic@theglobalyouthcongress.com, stating the intent to transfer, and must be sent from the registration email address — that is, the email address of the parent or legal guardian who registered the Participant or, where the Participant was registered as part of a group or team, the email address of the registering teacher, mentor, or school. GYC will respond with any specific instructions or requirements that apply. A transfer is not effective, and no transfer may be relied upon, unless and until GYC has approved it in writing by email. A request made by any other channel, or from any other address, is not a valid request.

7.3. Transfer to Another Student. A transfer to a different student is subject to: the substitute student meeting all eligibility requirements in Section 2 and completing registration in full; the substitute student and their parent or guardian accepting this Agreement in their own right; GYC's written approval; and any administrative or reallocation fee GYC states at the time. The registration may not be sold, offered, or transferred for any sum greater than the fee originally paid. Team, track, and challenge allocation does not transfer automatically and is reallocated at GYC's discretion under Section 8.

7.4. Transfer to a Future Edition. A transfer to a future edition is subject to GYC's written approval and to availability. The fee paid is credited toward the future edition at the amount actually paid. If the future edition carries a higher fee, the difference is payable by you before the transfer is confirmed. If the future edition carries a lower fee, the difference is not refunded and carries no cash value. A registration transferred to a future edition is subject to the terms in force for that edition.

7.5. Deadline. A transfer request must be received by GYC at least thirty (30) days before the first day of the Competition. GYC is not obliged to consider a request received after that point, and after that point the registration is fixed.

7.6. Not a Refund Mechanism. A transfer is a change of registration, not a cancellation, and does not release any sum for return. Where an approved transfer does not proceed for any reason, the original registration and this Agreement continue to apply in full, including Section 4.

8. TEAMS, TRACKS & CHALLENGE ASSIGNMENT

8.1. Assignment Is the Challenge. Challenge briefs, problem statements, tracks, categories, brackets, cohorts, and — where GYC forms teams — team composition are determined solely and exclusively by GYC academic staff, at their absolute discretion, on academic and operational grounds. Being assigned a challenge, track, or team that the Participant did not choose, is unfamiliar with, or finds difficult, technically demanding, unpopular, or otherwise undesirable is a deliberate and integral part of the educational challenge of the World AI Challenge — it is a feature of the Program, not a defect in it. The exercise consists precisely in researching, building, collaborating, and competing within an assigned brief and an assigned team, irrespective of personal preference or prior familiarity.

8.2. No Guarantee of Any Assignment; Preferences Are Not Binding. GYC does not, under any circumstance, guarantee that a Participant will be assigned any particular challenge, problem statement, track, theme, category, bracket, cohort, team, or teammate, or any assignment of any particular character or difficulty. No such guarantee is given, may be implied, or may be relied upon. Where GYC invites preferences, rankings, or requests, they are non-binding indications only; GYC is under no obligation to honor them, in whole or in part, and does not explain, justify, or disclose the basis of any assignment. No statement by any GYC staff member, academic staff, judge, mentor, teacher, school, partner, or authorized reseller, and no marketing, promotional, registration, or informational material, constitutes or creates a guarantee of any assignment; any such statement is of no effect and is not relied upon (see Section 5.3).

8.3. Assignments Are Final. Once issued, an assignment is final and non-appealable. GYC does not reassign, swap, or reallocate on request. GYC may itself reallocate an assignment, restructure a team, merge or split a bracket, or move a Participant at any time for academic or operational reasons; such reallocation is likewise final.

8.4. Team Rosters and Teammate Risk. Where a team is registered, the roster is locked at the deadline stated in the Competition Guidelines. The performance, availability, participation, withdrawal, absence, or removal of any teammate is at your risk and is not a failure by GYC. GYC is under no obligation to replace a departed teammate, to adjust a team's obligations, or to alter the judging criteria applied to a reduced team, and none of these circumstances gives rise to any refund, credit, transfer, or claim.

8.5. No Right Arising From Assignment. Dissatisfaction with a challenge, track, category, bracket, team, or teammate — by the Participant, the parent or guardian, the mentor, the teacher, the school, or the team — does not constitute a failure by GYC to deliver the Competition, is not a defect in the service, and gives rise to no right of cancellation, refund, partial refund, credit, transfer, fee reduction, reassignment, chargeback, or claim of any kind. This Section is a material term and is not subject to Section 5.1.

8.6. Timing. GYC issues briefs and assignments on its own schedule. Late issue, or reallocation close to the Competition date, gives rise to no right of refund or claim.

9. CODE OF CONDUCT

9.1. Mandatory Compliance. Every Participant is required to be in full compliance with the GYC Global Code of Conduct & Ethics at all times, in every GYC program without exception. The Global Code of Conduct & Ethics is published by GYC and is incorporated into this Agreement by reference; acceptance of it is a mandatory condition of registration, and registration is not valid without it.

9.2. Scope of Application. The Code applies for the full duration of the Competition and to all Competition-related conduct, including at any live venue, in every online session, on camera and on microphone, in platform chat and messaging, in team channels and repositories, in submitted work, and in any online or social-media conduct relating to the Competition, other participants, judges, or GYC staff.

9.3. Registering Party's Obligation. By registering, you confirm that you have read the Global Code of Conduct & Ethics, have brought it to the Participant's attention, and accept it on the Participant's behalf. Where you register a group or team, this obligation extends to every Participant you register.

9.4. Consequences of Breach. Breach of the Code may result in disciplinary action at GYC's sole discretion, up to and including warning, removal from a session, revocation of platform access, voiding of a submission, loss of eligibility for awards, disqualification of the Participant or the entire team, and immediate removal from the Competition. Where a Participant or team is removed or disqualified, no refund, credit, or transfer of any kind is issued. At a live edition, the Participant is returned to the care of their parent, guardian, or accompanying educator immediately and at your sole expense.

9.5. Damage. At live editions, you are financially responsible for any damage caused by the Participant to venue, hotel, partner, or third-party property or equipment, and GYC may recover the verified cost from you.

10. ACADEMIC INTEGRITY, AI USE & SUBMISSIONS

10.1. Original Work. All work submitted must be created by the registered Participants of the team during the Competition period, except as expressly permitted by the Competition Rules. Plagiarism, misappropriation of another's work, submission of pre-existing or externally built work presented as new, ghost-writing, and impersonation are prohibited.

10.2. Use of AI Tools. The Competition Guidelines and Rules define, for each edition, which AI tools, models, datasets, libraries, and services may be used, and how their use must be disclosed. Use of AI outside those rules, or failure to disclose use where disclosure is required, is a breach and may result in voiding of the submission, disqualification of the Participant or the entire team, and removal without refund.

10.3. Adult and Mentor Involvement. Work must be the students'. Mentors, teachers, and parents may guide and teach but may not author, build, or produce the submitted work. Undisclosed adult authorship is a breach of Section 10.1.

10.4. Submission Requirements. Submissions must meet the format, content, licensing, and deadline requirements in the Competition Rules. A late, incomplete, corrupted, inaccessible, or non-compliant submission may be rejected or scored as submitted, at GYC's discretion, and gives rise to no refund, credit, extension, or claim. Responsibility for successful submission, including allowing for connectivity and upload time, rests with the Participant.

10.5. Verification. GYC may inspect, test, question, and verify any submission and may require Participants to explain or demonstrate their work. Refusal or inability to do so may result in disqualification without refund.

11. PAYMENT DISPUTES & CHARGEBACKS

11.1. Contact Us First. If you have any concern about a charge, you agree to raise it with GYC in writing at billing@theglobalyouthcongress.com before contacting your bank or card issuer. Verified billing errors are corrected under Section 3.6.

11.2. Chargebacks. Initiating a chargeback, payment dispute, or reversal in respect of a Competition that GYC has delivered, or has made available to the Participant in accordance with this Agreement, is a breach of this Agreement. GYC will contest any such dispute and will submit this Agreement, your acceptance record, the registration record, and the assignment, credential-issue, platform-access, and submission records as evidence.

11.3. Consequences. Where a chargeback is initiated in breach of Section 11.2, GYC may: suspend or cancel the registration and revoke platform access without refund; void the submission; withhold the Participant's results, awards, scholarships, and certificates; recover the disputed sum together with all fees, costs, and charges GYC incurs in contesting it; and decline future registrations from the Participant, the family, or, where the registration was made through a group, the school, institution, or reseller concerned.

12. JUDGING, RESULTS & AWARDS

12.1. Judging Is Final. Scores, rankings, eliminations, awards, honors, and placements are determined solely by GYC academic staff and appointed judges, applying the published judging criteria. Their decisions are absolute, final, and not subject to appeal, review, re-scoring, or explanation.

12.2. No Guarantee. Registration guarantees participation only. It does not guarantee advancement to any stage, any award, placement, recognition, scholarship, certificate of distinction, or outcome of any kind, and elimination or the absence of an award gives rise to no claim.

12.3. Minimum Thresholds. Awards and scholarships may be subject to minimum participation thresholds published in the Competition or scholarship rules. Where a threshold is not met, an award may be honorary only.

12.4. Scholarships. Any scholarship arising from the Competition is governed by its own published scholarship policy, which is a separate instrument from this Agreement.

13. INTELLECTUAL PROPERTY, MEDIA & DATA

13.1. Ownership of Participant Work. The Participants of a team retain ownership of the intellectual property in the work they create and submit, subject to the license in Section 13.2 and to any third-party rights in tools, models, datasets, or libraries they use.

13.2. License to GYC. You grant GYC and its authorized partners a worldwide, perpetual, irrevocable, non-exclusive, royalty-free license to store, reproduce, adapt for display, publish, exhibit, and use the submitted work, in whole or in part, together with the Participant's name, school, and country, for judging, educational, promotional, and archival purposes. This license does not transfer ownership and does not restrict the Participants' own use of their work.

13.3. Third-Party Rights. You warrant that the submitted work does not infringe any third-party intellectual property, privacy, or other right, and that all tools, models, datasets, code, and assets used are used in compliance with their licenses. You are responsible for any claim arising from a breach of this warranty.

13.4. Media Release. You grant GYC and its authorized partners a worldwide, perpetual, royalty-free license to record, reproduce, and use the Participant's name, likeness, image, voice, and on-screen or on-stage appearance in any media now known or later devised, for promotional, educational, and archival purposes. To request removal of specific published material featuring the Participant, write to support@theglobalyouthcongress.com; GYC will act within thirty (30) business days on platforms under its direct control.

13.5. Data Protection. Personal data is handled in accordance with the GYC Privacy Policy, incorporated by reference. You consent to GYC's collection, use, and sharing of personal data as necessary to deliver the Competition safely, including sharing relevant details with the platform provider, judges, partner institutions, venues, and insurers.

13.6. GYC Materials & Platform. All Competition materials, briefs, rules, judging criteria, recordings, branding, and platforms are GYC's property and may not be recorded, reproduced, distributed, or used commercially without GYC's written permission.

14. PARTICIPATION CONDITIONS BY FORMAT

14.1. Online Editions. You are solely responsible for providing and maintaining the device, software, connectivity, power supply, and suitable environment the Participant needs to take part, and for verifying against the published technical requirements. Any failure or inadequacy of the Participant's own equipment, connection, network, cloud service, AI tooling, or environment is at your sole risk and gives rise to no refund, credit, transfer, deadline extension, or claim. The Participant remains under your supervision and in your care at all times.

14.2. Live Editions. Where an edition is held at a live venue, GYC's supervisory responsibility begins when the Participant is signed in at the venue at the start of a scheduled Competition day and ends when the Participant leaves the venue or the day concludes, whichever is earlier. You are solely responsible for the Participant's travel, accommodation, meals outside the Competition, and supervision, safety, and welfare at all other times. Where the Participant attends as part of a school or group, the accompanying educator holds that responsibility and acts in loco parentis.

14.3. Health & Medical. You must disclose all of the Participant's relevant medical conditions, allergies, and medication requirements at registration. You confirm the Participant is covered by valid health insurance and you are responsible for all medical costs incurred. At a live edition, in an emergency you authorize GYC staff to seek and facilitate emergency medical treatment where you and the accompanying educator cannot be reached in time.

15. LEGAL FRAMEWORK

15.1. Limitation of Liability. GYC is not liable for any failure to perform arising from your or the Participant's acts or omissions, the acts or omissions of a third party (including any platform, hosting, cloud, AI-service, or connectivity provider), or Force Majeure. Except in respect of death or personal injury caused by GYC's own negligence, and to the fullest extent permitted by law, GYC's total liability arising out of or in connection with this Agreement is limited to the Competition fee actually paid for the affected registration. GYC is not liable for indirect or consequential loss, including travel, accommodation, visa, insurance, tooling, or preparation costs.

15.2. No Warranty of Uninterrupted Service. Online components are delivered over the public internet using third-party technology. GYC does not warrant that any platform will be uninterrupted, error-free, or available at all times from every location.

15.3. Assumption of Risk. You acknowledge that participation in a competition, and at live editions in travel and group activity, involves inherent risks, and you voluntarily assume those risks on the Participant's behalf.

15.4. Governing Law & Jurisdiction. This Agreement, and any dispute or claim arising out of or in connection with it, is governed by the laws of the State of Delaware, United States, without regard to its conflict of laws principles. Any legal action must be brought exclusively in the state or federal courts located in Delaware. GYC may, at its discretion, offer mediation or arbitration.

15.5. Severability. If any provision of this Agreement is held invalid or unenforceable, that provision is severed and the remainder continues in full force and effect. In particular, if any part of Section 4 is held unenforceable, the remainder of Section 4 continues to apply to the fullest extent permitted.

15.6. Entire Agreement. This Agreement, with the documents incorporated by reference in Section 1.4, is the entire agreement between the parties in respect of the Competition and supersedes all prior discussions, representations, marketing statements, and understandings.

15.7. Amendment. GYC may amend this Agreement for future registrations. The version in force on the date you complete registration governs your registration.

15.8. Language. This Agreement is executed in English. Any translation is provided for convenience only, and the English text governs in the event of any inconsistency.

16. ACKNOWLEDGMENT

By completing registration, you confirm that you have read, understood, and accept this Agreement, and specifically that you understand and agree that:

  • All Competition fees are non-refundable, in full, for any reason (Section 4);
  • No particular challenge, track, team, or teammate is guaranteed under any circumstance; assignments are made by GYC, are final, and dissatisfaction with an assignment — or with a teammate, or a teammate's withdrawal — is not a ground for refund, transfer, reassignment, or cancellation (Section 8);
  • The Participant must be in full compliance with the Global Code of Conduct & Ethics at all times, and removal or disqualification for breach carries no refund (Section 9);
  • Work must be original and AI tools may be used only as the Competition Rules permit; a breach may disqualify the whole team without refund (Section 10);
  • Devices, connectivity, tooling, and successful submission are your responsibility, and their failure gives no right to a refund or an extension (Sections 10.4 and 14.1);
  • A registration may be transferred once only, by written request from the registration email address, and only with GYC's written approval (Section 7).
