These Supplemental Terms apply to Global MUN Live conferences and are read together with the General Terms of Service. Where they conflict, these Supplemental Terms control for this Program.
BY REGISTERING FOR THIS PROGRAM, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THIS AGREEMENT, on your own behalf and on behalf of the Participant, together with the General Terms of Service, the Global Code of Conduct & Ethics, and the Privacy Policy. If you do not agree to these terms, do not complete registration. Please read Section 4 (No Refunds) and Section 8 (Assignment) with particular care.
Attending from abroad? This Agreement covers your conference registration only, in whichever city the conference is held. If you also purchase travel, a delegation trip, or accommodation from GYC, that is a separate contract governed by the International Academic Programs Terms of Service, which are provided to you during the registration process for that program. The two contracts stand alone: neither creates any right of refund, credit, or cancellation under the other. See Sections 1.6 and 10.3.
1. INTRODUCTION & AGREEMENT
1.1. The Parties. These Terms and Conditions ("Agreement") are established by Global Learning LLC, a Delaware limited liability company with its registered office at 16192 Coastal Highway, Lewes, Delaware 19958, United States, doing business as Global Youth Congress ("GYC", "we", "us", "our").
1.2. Scope. This Agreement governs the participation of a student ("Participant" or "Delegate") in any Global Model United Nations Live conference ("Conference" or "Program") produced by GYC. The terms "you" and "your" refer to the person who completes the registration and accepts this Agreement — the Participant's parent or legal guardian, or, where the Participant is registered as part of a school or group delegation, the registering teacher, advisor, or institution acting on the family's behalf and with its authority.
1.3. Group Registrations. Where a school, institution, group, or authorized reseller registers one or more Participants, that registering party accepts this Agreement on behalf of every Participant it registers and warrants that it holds the authority of each Participant's parent or legal guardian to do so. Every Participant in a group registration is bound by this Agreement individually, and every term of it — including Section 4 (No Refunds) — applies to each seat registered.
1.4. Documents Forming the Agreement. This Agreement, together with the Global Code of Conduct & Ethics, the Privacy Policy, the official Conference price letter, and the Conference Guidelines, forms the entire binding contract between you and GYC. Each is incorporated into this Agreement by reference.
1.5. Acceptance. This Agreement becomes a binding contract at the moment you complete registration and GYC receives payment of the Conference fee. By completing registration you confirm that you have read, understood, and agree to be bound by this Agreement on your own behalf and on behalf of the Participant.
1.6. What This Agreement Does Not Cover. This Agreement governs Conference registration only. If you separately purchase an international travel program, delegation trip, accommodation package, or any other travel arrangement from GYC, that purchase is governed by its own International Academic Programs Terms of Service and is a separate contract. Nothing in that separate contract creates any right of refund, credit, or cancellation under this one, and nothing in this Agreement creates any such right under that one.
2. ELIGIBILITY & REGISTRATION
2.1. Participant Eligibility. The Conference is designed for students between the ages of 12 and 18 at the time of the Conference who are actively enrolled in an accredited secondary education institution in their country of residence. Exceptions are made only at GYC's sole discretion and only under the conditions stated in the Conference Guidelines.
2.2. Real Identity. Registration must be completed using the Participant's true and complete legal name and accurate personal details. Placeholder, dummy, duplicate, or ghost registrations are prohibited. Name changes after registration are permitted only for the correction of a genuine error and are subject to GYC review and written approval. A registration found to be inaccurate or falsified may be cancelled without refund.
2.3. Accurate Information. You are responsible for the accuracy of all information submitted at registration, including the registration email address, which is the address GYC will treat as authoritative for all notices, approvals, and requests under this Agreement.
2.4. Confirmation. A Participant's place at the Conference is confirmed only when GYC has received both a completed registration and payment in full. GYC is under no obligation to hold, reserve, or honor an unpaid or partially paid registration.
3. FEES & PAYMENT
3.1. Payment in Full. The Conference fee is payable in full at the time of registration. GYC does not offer installment, deferred, or financed payment for Conference registration unless expressly stated in writing in the official price letter for a specific Conference.
3.2. Currency & Method. All payments are made in U.S. Dollars (USD) via the payment methods GYC provides. You are responsible for any bank charges, card fees, currency conversion costs, or intermediary fees imposed by your payment provider. Where GYC publishes a price in a currency other than USD, conversion is made at the rate applied on the date of invoicing.
3.3. What the Fee Includes. The Conference fee includes only the items expressly listed in the official Conference price letter. Unless that letter states otherwise, the fee covers admission to the Conference and its scheduled academic sessions, Conference materials, and GYC academic and supervisory staffing during scheduled Conference hours at the Conference venue.
3.4. What the Fee Excludes. The Conference fee does not include, and you are solely responsible for, all costs of: travel to and from the Conference city and venue; local transportation; accommodation; meals not expressly listed as included; passport, visa, and travel documentation; travel and medical insurance; personal expenses; personal equipment (including any device required for a session); and any optional activity or add-on.
3.5. Correction of Billing Errors. If you are charged more than once for the same registration, or charged an amount other than the published fee for the registration you actually completed, that is a billing error, not a cancellation, and it is corrected as a billing matter. Notify GYC in writing at billing@theglobalyouthcongress.com within thirty (30) days of the charge and, once verified against our records, GYC will correct the erroneous charge. The correction of a verified billing error is an accounting adjustment; it is not a refund, does not arise under Section 4, and does not affect the operation of Section 4 in any respect.
3.6. Price Changes. GYC may change published fees for future Conferences at any time. A change in the published fee after you have registered gives no right to any refund, credit, or price adjustment, and a Participant who registered at a lower fee has no obligation to pay a subsequent increase for that same Conference.
4. NO REFUNDS
4.1. THE RULE. ALL CONFERENCE FEES ARE NON-REFUNDABLE IN FULL, FROM THE MOMENT OF PAYMENT, FOR ANY REASON. There is no refund period, no grace period, no cooling-off window, and no partial, pro-rated, or proportional refund. This is a material term of this Agreement and forms part of the consideration for the fee at which the Conference is offered to you.
4.2. Why. A Conference seat is a finite, allocated resource. On receipt of your registration GYC immediately commits venue capacity, staffing, academic assignment, materials, and committee composition against that seat, and withdraws it from availability to any other student. Those commitments are not recoverable and are not resold. The fee is charged on that basis.
4.3. Circumstances That Do Not Give Rise to a Refund. For the avoidance of any doubt, none of the following — and no circumstance analogous to any of them — entitles you to a refund, a partial refund, a credit, a rollover, a deferral, a fee waiver, or a release from payment. This list is illustrative and not exhaustive:
- Dissatisfaction with the committee, country, delegation, topic, role, position, or council assigned to the Participant, or with the difficulty, size, popularity, subject matter, or perceived desirability of that assignment;
- An assignment that differs from any preference, request, ranking, or expectation expressed by the Participant, the family, the teacher, or the school, whether before or after registration;
- The Participant's inability, unwillingness, or failure to prepare for, research, or perform in the assigned role;
- Illness, injury, medical condition, medical emergency, quarantine, mental-health circumstance, family emergency, bereavement, or any other personal circumstance affecting the Participant or the family;
- Academic conflicts, examinations, school calendar changes, schedule clashes, or competing commitments or events;
- Travel disruption of any kind, including flight cancellation, delay, missed connection, road closure, or transportation failure;
- Visa denial, visa delay, passport expiry or unavailability, refusal of entry at a border, or non-compliance with any migratory obligation in any country;
- Withdrawal by, or a change of plan at, the Participant's school, institution, group, delegation, or reseller; a reduction in delegation size; or the loss or unavailability of a chaperone, teacher, or accompanying adult;
- A change of mind by the Participant, the parent or guardian, the teacher, the school, or the institution;
- Non-attendance, no-show, late arrival, early departure, or attendance at only part of the Conference;
- The Participant's removal, dismissal, suspension, or disqualification from the Conference for breach of the Global Code of Conduct & Ethics or of this Agreement;
- Dissatisfaction with Conference results, awards, scoring, rankings, or the decisions of chairs, judges, or academic staff;
- Dissatisfaction with the venue, facilities, catering, schedule, materials, staff, other participants, or other delegations;
- Local weather, transport, or civil conditions that do not prevent GYC from holding the Conference;
- Failure to read, receive, understand, or be aware of this Agreement, the Conference Guidelines, or any communication sent to the registration email address.
4.4. No Cash Value. No fee paid under this Agreement carries any cash, surrender, or redemption value, and no fee or part of a fee may be converted to cash, credit, merchandise, scholarship, or any other consideration except exactly as provided in Section 6 (Cancellation by GYC) or Section 7 (Transfers).
4.5. The Only Exceptions. The only circumstances in which any sum paid under this Agreement is returned or converted are those expressly set out in Section 3.5 (correction of a verified billing error), Section 6 (cancellation by GYC), and Section 7 (one-time transfer). No other exception exists, and none may be implied.
5. NO WAIVER, NO PRECEDENT, NO AUTHORITY TO VARY
5.1. Discretionary Accommodation. GYC may, in a wholly exceptional case, at its sole and absolute discretion and under no obligation whatsoever, elect to make a goodwill accommodation to a registrant. Any such accommodation:
- (a) is made as a gesture only, without any admission of obligation, fault, or liability;
- (b) applies solely to the single registration and single instance for which it is granted;
- (c) is not a waiver, amendment, or relaxation of any provision of this Agreement;
- (d) does not create a precedent, custom, practice, course of dealing, or expectation of any kind; and
- (e) creates no entitlement for any other registrant, for any other Participant, for the same registrant on any other occasion, or for any other Conference.
5.2. No Course of Dealing. GYC's failure or delay in enforcing any provision of this Agreement, on any occasion or on repeated occasions, is not a waiver of that provision or of any other, and does not limit GYC's right to enforce it fully at any time.
5.3. No Authority to Vary. No employee, contractor, academic staff member, chair, teacher, school, institution, partner, authorized reseller, agent, or other representative of GYC or of any third party has authority to waive, vary, relax, or contradict any provision of this Agreement, and no statement by any such person — oral, written, or by conduct, before or after registration — modifies it or creates any right against GYC. This Agreement may be varied only by a written instrument signed by an authorized officer of Global Learning LLC, and any such instrument applies only to the specific registration it names.
6. CANCELLATION, CHANGES & POSTPONEMENT BY GYC
6.1. Changes to the Conference. GYC reserves the absolute right to determine and to change the Conference program, schedule, agenda, committees, topics, venue, session format, academic staff, chairs, suppliers, and any other Conference component at its discretion. Such changes do not constitute a failure to deliver the Conference and give rise to no refund, credit, or claim.
6.2. Cancellation by GYC Within Its Control. If GYC cancels a Conference outright for reasons within its reasonable control, and does not deliver it, you will receive a full refund of all Conference fees you have paid to GYC for that Conference. This is your sole and exclusive remedy for such a cancellation, and GYC is not liable for any other cost, loss, or expense you may have incurred, including travel, accommodation, insurance, visa, or preparation costs.
6.3. Force Majeure. GYC is not liable for any failure or delay in delivering the Conference caused by circumstances beyond its reasonable control, including war or threat of war, civil unrest, terrorism, strike or industrial action, natural disaster, earthquake, flood, fire, severe weather, epidemic, pandemic, public-health measure, government or regulatory action, border closure, venue loss, or failure of essential public infrastructure or utilities ("Force Majeure").
6.4. Remedy in Force Majeure. Where a Conference is cancelled, postponed, relocated, or materially curtailed by reason of Force Majeure, GYC will, at its election, do one or more of the following: reschedule the Conference to a new date; relocate it to an alternative venue; deliver it in an online or hybrid format; or issue you a credit equal to the full value of the fees you paid, applicable to any GYC experience or to the next edition of the Conference that GYC is able to deliver. No cash refund is payable in a Force Majeure event. Where the Conference is delivered in a format carrying a lower published fee, GYC will issue the difference as additional credit on the same terms. Credit issued under this Section is valid for twelve (12) months from issue, is non-transferable except under Section 7, and carries no cash value.
6.5. Minimum Numbers. GYC may cancel, merge, or restructure a committee, council, or delegation that does not reach viable numbers. Such a change is not a cancellation of the Conference and gives rise to no refund or credit.
7. TRANSFERS
7.1. One Transfer Only. A registration may be transferred once, and once only. You may elect either to transfer the registration to a different eligible student (Section 7.3), or to transfer it to a future edition of the Conference (Section 7.4). You may not do both, and no registration may be transferred a second time by anyone.
7.2. How to Request a Transfer. A transfer request must be made by email to gmun@theglobalyouthcongress.com, stating the intent to transfer, and must be sent from the registration email address — that is, the email address of the parent or legal guardian who registered the Participant or, where the Participant was registered as part of a group, the email address of the registering teacher or school. GYC will respond with any specific instructions or requirements that apply. A transfer is not effective, and no transfer may be relied upon, unless and until GYC has approved it in writing by email. A request made by any other channel, or from any other address, is not a valid request.
7.3. Transfer to Another Student. A transfer to a different student is subject to: the substitute student meeting all eligibility requirements in Section 2 and completing registration in full; the substitute student and their parent or guardian accepting this Agreement in their own right; GYC's written approval; and any administrative or reallocation fee GYC states at the time. The registration may not be sold, offered, or transferred for any sum greater than the fee originally paid. Committee and country assignment does not transfer automatically and is reallocated at GYC's discretion under Section 8.
7.4. Transfer to a Future Edition. A transfer to a future edition of the Conference is subject to GYC's written approval and to availability. The fee paid is credited toward the future edition at the amount actually paid. If the future edition carries a higher fee, the difference is payable by you before the transfer is confirmed. If the future edition carries a lower fee, the difference is not refunded and carries no cash value. A registration transferred to a future edition is subject to the terms in force for that edition.
7.5. Deadline. A transfer request must be received by GYC at least thirty (30) days before the first day of the Conference. GYC is not obliged to consider a request received after that point, and after that point the registration is fixed.
7.6. Not a Refund Mechanism. A transfer is a change of registration, not a cancellation, and does not release any sum for return. Where an approved transfer does not proceed for any reason, the original registration and this Agreement continue to apply in full, including Section 4.
8. DELEGATION, COMMITTEE & COUNTRY ASSIGNMENT
8.1. Assignment Is the Academic Challenge. Committee, council, country, delegation, topic, and role assignments are made solely and exclusively by GYC academic staff, at their absolute discretion, on academic and operational grounds, including the balance and viability of each committee. Being assigned a country, committee, topic, or position that the Participant did not choose, is unfamiliar with, or finds difficult, unpopular, small, controversial, or otherwise undesirable is a deliberate and integral part of the educational challenge of Model United Nations — it is a feature of the Program, not a defect in it. The academic exercise consists precisely in researching, preparing, and representing an assigned position irrespective of personal preference or prior familiarity.
8.2. No Guarantee of Any Assignment; Preferences Are Not Binding. GYC does not, under any circumstance, guarantee that a Participant will be assigned any particular country, delegation, committee, council, topic, position, or role, or any assignment of any particular character, difficulty, size, or prominence. No such guarantee is given, may be implied, or may be relied upon. Where GYC invites preferences, rankings, or requests, they are non-binding indications only; GYC is under no obligation to honor them, in whole or in part, and does not explain, justify, or disclose the basis of any assignment. No statement by any GYC staff member, academic staff, chair, teacher, school, delegation advisor, partner, or authorized reseller, and no marketing, promotional, registration, or informational material, constitutes or creates a guarantee of any assignment; any such statement is of no effect and is not relied upon (see Section 5.3).
8.3. Assignments Are Final. Once issued, an assignment is final and non-appealable. GYC does not reassign, swap, or reallocate on request. GYC may itself reallocate an assignment at any time for academic or operational reasons, including committee viability, late registration, or withdrawal elsewhere in the Conference; such reallocation is likewise final.
8.4. No Right Arising From Assignment. Dissatisfaction with an assignment — by the Participant, the parent or guardian, the teacher, the school, or the delegation — does not constitute a failure by GYC to deliver the Conference, is not a defect in the service, and gives rise to no right of cancellation, refund, partial refund, credit, transfer, fee reduction, reassignment, chargeback, or claim of any kind. This Section is a material term and is not subject to Section 5.1.
8.5. Timing. GYC issues assignments on its own schedule. Late assignment, or reallocation close to the Conference date, gives rise to no right of refund or claim.
9. CODE OF CONDUCT
9.1. Mandatory Compliance. Every Participant is required to be in full compliance with the GYC Global Code of Conduct & Ethics at all times, in every GYC program without exception. The Global Code of Conduct & Ethics is published by GYC and is incorporated into this Agreement by reference; acceptance of it is a mandatory condition of registration, and registration is not valid without it.
9.2. Scope of Application. The Code applies for the full duration of the Conference and to all Conference-related conduct, including at the venue, in all sessions and social activities, in transit between Conference activities, on GYC platforms and communication channels, and in any online conduct relating to the Conference, other participants, or GYC staff.
9.3. Registering Party's Obligation. By registering, you confirm that you have read the Global Code of Conduct & Ethics, have brought it to the Participant's attention, and accept it on the Participant's behalf. Where you register a group, this obligation extends to every Participant you register.
9.4. Consequences of Breach. Breach of the Code may result in disciplinary action at GYC's sole discretion, up to and including warning, exclusion from a session, loss of eligibility for awards, disqualification, and immediate removal from the Conference. Where a Participant is removed, no refund, credit, or transfer of any kind is issued, the Participant is returned to the care of their parent, guardian, or accompanying educator immediately and at your sole expense, and GYC's supervisory responsibility ends at that point.
9.5. Damage. You are financially responsible for any damage caused by the Participant to venue, hotel, partner, or third-party property, and GYC may recover the verified cost of that damage from you.
10. SUPERVISION & RESPONSIBILITY AT A LIVE CONFERENCE
10.1. Scope of GYC Supervision. A Global MUN Live conference is a day conference. GYC's supervisory responsibility for a Participant begins when the Participant is signed in at the Conference venue at the start of a scheduled Conference day and ends when the Participant leaves the venue or the Conference day concludes, whichever is earlier. GYC has no supervisory responsibility for a Participant outside those hours or away from the venue.
10.2. Your Responsibility. You are solely responsible for the Participant's travel to and from the venue, accommodation, meals outside the Conference, supervision outside Conference hours, and safety and welfare at all times other than during GYC's supervision under Section 10.1. Where the Participant attends as part of a school or group delegation, the accompanying educator or chaperone holds that responsibility and acts in loco parentis.
10.3. Travel and Accommodation Are Separate. GYC does not provide, arrange, or accept responsibility for travel or accommodation under this Agreement. Where an international delegation books a travel program, delegation trip, or accommodation package with GYC, those arrangements are a separate purchase governed by the GYC International Academic Programs Terms of Service, and the terms of that separate contract — including its own payment and cancellation schedule — apply to it exclusively.
10.4. Health & Medical. You must disclose all of the Participant's relevant medical conditions, allergies, and medication requirements at registration. You confirm that the Participant is covered by health insurance valid at the Conference location, and you are responsible for all medical costs incurred. In an emergency, you authorize GYC staff to seek and facilitate emergency medical treatment for the Participant where you and the accompanying educator cannot be reached in time.
10.5. Independent Activities. GYC is not responsible for any activity, excursion, tour, or arrangement that the Participant, the family, the school, or the delegation undertakes independently of the scheduled Conference program.
11. PAYMENT DISPUTES & CHARGEBACKS
11.1. Contact Us First. If you have any concern about a charge, you agree to raise it with GYC in writing at billing@theglobalyouthcongress.com before contacting your bank or card issuer. Verified billing errors are corrected under Section 3.5.
11.2. Chargebacks. Initiating a chargeback, payment dispute, or reversal in respect of a Conference that GYC has delivered, or has made available to the Participant in accordance with this Agreement, is a breach of this Agreement. GYC will contest any such dispute and will submit this Agreement, your acceptance record, the registration record, and the assignment and attendance records as evidence.
11.3. Consequences. Where a chargeback is initiated in breach of Section 11.2, GYC may: suspend or cancel the registration without refund; withhold the Participant's assignment, credentials, results, awards, and certificates; recover the disputed sum together with all fees, costs, and charges GYC incurs in contesting it; and decline future registrations from the Participant, the family, or, where the registration was made through a group, the school, institution, or reseller concerned.
12. AWARDS, RESULTS & JUDGING
12.1. Judging Is Final. Awards, honors, placements, and recognitions are determined solely by GYC academic staff, chairs, and appointed judges. Their decisions are absolute, final, and not subject to appeal, review, or explanation.
12.2. No Guarantee. Registration guarantees participation only. It does not guarantee any award, placement, recognition, scholarship, certificate of distinction, or outcome of any kind, and the absence of an award gives rise to no claim.
12.3. Scholarships. Any scholarship or award arising from the Conference is governed by its own published scholarship policy, which is a separate instrument from this Agreement.
13. MEDIA, DATA & INTELLECTUAL PROPERTY
13.1. Media Release. You grant GYC and its authorized partners a worldwide, perpetual, royalty-free license to record, reproduce, and use the Participant's name, likeness, image, voice, and Conference work in any media now known or later devised, for promotional, educational, and archival purposes. To request removal of specific published material featuring the Participant, write to support@theglobalyouthcongress.com; GYC will act within thirty (30) business days on platforms under its direct control.
13.2. Data Protection. Personal data is handled in accordance with the GYC Privacy Policy, incorporated by reference. You consent to GYC's collection, use, and sharing of personal data as necessary to deliver the Conference safely, including sharing relevant details with venues, insurers, partner institutions, and academic staff.
13.3. Participant Work. The Participant retains ownership of position papers, resolutions, and other work product they author. You grant GYC a non-exclusive, perpetual, royalty-free license to reproduce, display, and use that work for educational, promotional, and archival purposes.
13.4. GYC Materials. All Conference materials, guides, background papers, rules of procedure, branding, and platforms are GYC's property and may not be reproduced, distributed, or used commercially without GYC's written permission.
14. LEGAL FRAMEWORK
14.1. Limitation of Liability. GYC is not liable for any failure to perform arising from your or the Participant's acts or omissions, the acts or omissions of a third party, or Force Majeure. Except in respect of death or personal injury caused by GYC's own negligence, and to the fullest extent permitted by law, GYC's total liability arising out of or in connection with this Agreement is limited to the Conference fee actually paid for the affected registration. GYC is not liable for indirect or consequential loss, including travel, accommodation, visa, insurance, or preparation costs.
14.2. Assumption of Risk. You acknowledge that participation in a live conference involves inherent risks associated with travel, group activity, and unfamiliar environments, and you voluntarily assume those risks on the Participant's behalf.
14.3. Governing Law & Jurisdiction. This Agreement, and any dispute or claim arising out of or in connection with it, is governed by the laws of the State of Delaware, United States, without regard to its conflict of laws principles. Any legal action must be brought exclusively in the state or federal courts located in Delaware. GYC may, at its discretion, offer mediation or arbitration.
14.4. Severability. If any provision of this Agreement is held invalid or unenforceable, that provision is severed and the remainder continues in full force and effect. In particular, if any part of Section 4 is held unenforceable, the remainder of Section 4 continues to apply to the fullest extent permitted.
14.5. Entire Agreement. This Agreement, with the documents incorporated by reference in Section 1.4, is the entire agreement between the parties in respect of the Conference and supersedes all prior discussions, representations, marketing statements, and understandings.
14.6. Amendment. GYC may amend this Agreement for future registrations. The version in force on the date you complete registration governs your registration.
14.7. Language. This Agreement is executed in English. Any translation is provided for convenience only, and the English text governs in the event of any inconsistency.
15. ACKNOWLEDGMENT
By completing registration, you confirm that you have read, understood, and accept this Agreement, and specifically that you understand and agree that:
- All Conference fees are non-refundable, in full, for any reason (Section 4);
- No particular country, committee, or topic is guaranteed to any delegate under any circumstance; assignments are made by GYC, are final, and dissatisfaction with an assignment is not a ground for refund, transfer, reassignment, or cancellation (Section 8);
- The Participant must be in full compliance with the Global Code of Conduct & Ethics at all times, and removal for breach carries no refund (Section 9);
- A registration may be transferred once only, by written request from the registration email address, and only with GYC's written approval (Section 7);
- Travel and accommodation are not included and are your sole responsibility (Section 10).
